Coordinating creator content with actual stock

Keep creator posts, product pages and checkout aligned with saleable stock and supported dispatch estimates.

A creator post should describe the stock a customer can order when they see it. That means linking the content calendar to the business’s current saleable inventory.

It also needs a way to stop or correct posts when availability changes. An approved caption is not automatically accurate on publication day.

Define what can be promoted

Separate finished units ready for sale from units still being made, checked, moved or reserved for other orders. The campaign owner should know which product and variant each post features, what quantity is allocated to that offer and what dispatch statement the store can support. A broad “in stock” claim is risky if only one size or colour is available.

Use one current record for the team’s go or hold decision. It can be simple: product, variant, sale status, last check, owner and approved customer wording. The creator, store operator and any paid-media manager must consult the same status before a sales invitation goes live.

Put a stock check close to publication

Build a check into the release process, especially for a large creator post, a livestream or a paid push. Confirm that checkout accepts the intended variant, the product page shows the correct status and the fulfilment team can meet the stated dispatch window. If the business sells through several channels, check the allocation available to the advertised channel. Do not assume the combined total is free to sell.

The check must be close enough to publication to matter. A Monday approval cannot establish Friday availability. Assign a named person who can pause the scheduled asset if the status changes. If the platform does not allow a post to be stopped after publication, prepare a correction path on the product page and in the creator’s active channels.

Match the link and the promise

Send each sales post to the relevant product or variant. A post showing one colour should not land on a different colour without making the distinction clear. A caption promising immediate dispatch should not lead to a pre-order page. Review mobile checkout as a buyer would: the item, price, shipping terms and timing should remain clear at the point of payment.

Avoid relying on a small qualification to repair a prominent mismatch. The ACCC says it can require businesses to back up claims they make on social media. When the status changes, update the strongest claims first: pinned posts, active ads, product tiles and checkout wording.

Decide what happens when stock changes

Prepare three short response routes. If a variant sells out, mark it unavailable and offer an accurate update option if one exists. If only part of a range remains, change “the range is available” to the specific variants that can be bought. If supply is uncertain, pause the invitation to order until the team can support it.

Watch orders and customer questions after publication. A sudden cluster of “where is my order?” enquiries may point to a mismatch between campaign wording and fulfilment reality. Fix the message and the operational cause; another promotional post cannot solve either on its own. This is separate from stock forecasting.
